Compliance Department Overview
The Virginia Workers' Compensation Commission's Compliance Department consists of two departments, EDI Compliance and Insurance Compliance.
EDI Quality Assurance
The EDI Quality Assurance Department establishes and maintains the EDI standards for Employers, Carriers and Claim Administrators to report workplace accidents to the Virginia Workers' Compensation Commission; Enforces compliance with those standards; Supports Employers, Carriers, and Claim Administrators who have EDI related issues, questions and/or training needs; Provides a certain level of support to WebFile users, especially the Claim Administrators using the Commission's WebFile system to submit EDI transactions; Oversees the EDI vendor contract (Mitchell); Processes transactions to eliminate duplicate filings.

The Commission's EDI Implementation Guide contains all information needed to submit EDI to Virginia. The Implementation Guide and FAQ section under Online Services are great resources for most frequently asked questions. There are also training aids (FROI/SROI Key Even Matrix and Claim Event Flow) available that would be extremely beneficial those individuals responsible for filing the EDI transactions to Virginia.

Insurance Compliance
The Insurance Compliance Department investigates and verifies coverage for claim files; receives/processes/maintains policy/membership information from commercial carriers and group self insured associations(WebFile Guide for GSIA); approves PEO registrations and monitors the termination of their clients (WebFile Guide for PEO); monitors and enforces requirements for coverage; processes rejections (Rejection of Coverage 16A), terminations (Notice Terminating Prior Rejection of Coverage 17A) and OD waivers (Waiver of Occupational Disease 9A); responds to general inquiries relating to employer workers' compensation liability insurance requirements.

The Commission has designated NCCI as its agent to receive filings of coverage and cancellations/non-renewals. NCCI also manages assigned risk policies for Virginia and questions relating to applying for such should be sent to NCCI directly.
